Dearborn Public Schools - Managed Print Services

The Solution

After presenting DPS with their audit findings, CBI introduced the concept of their print.Reliance (Managed Print Services) program.  The print.Reliance program would help control and reduce their costs, streamline consumables, increase the productivity of the DPS administrative staff and facilitate teachers in classrooms.


CBI’s print.Reliance program would include innovative, cost-efficient devices through a Hardware-as-a-Service (HaaS) setup.  CBI would own all of the devices, as well as the responsibility and management for them, in turn reducing the technology expenses for DPS.  CBI would also be able to remotely manage the print devices and consumables throughout the entire school district.  CBI’s recommended solution also included replacing each of the legacy printers with cost-effective and energy efficient Kyocera ECOSYS printers with scanning capabilities. 

 

ECOSYS printers were recommended because of their multifunctional printing platform capabilities, ease of use and reduced noise, and for their ability to print and scan in color.  The ECOSYS printers are also environmentally-friendly devices, requiring less energy to operate. Perhaps most importantly, they could also be configured to work with the innovative new SMART boards in the classrooms.  “We placed DPS on a pre-set cost-per-print contract.  Between our print.Reliance cost structure and our HaaS setup, we would eliminate the need for DPS to have capital expenditures for these devices,” says Jim Rainsberger.


With the print.Reliance solution, the DPS technology staff would be able to reallocate their time and focus on other technology related projects. The administrators would also have a complete solution that would effectively manage their costs, without compromising classroom or teaching quality. DPS was presented with an organized deployment plan that would meet the school’s deadline and construction timetables.  CBI would remove all the legacy print devices and bring all the new print devices to a central location within the school district.  Once mobilized, CBI’s team would thoroughly distribute 1,127 devices to each of the school district’s 39 buildings. DPS district administrators were amazed by CBI’s strategic and innovative print.Reliance solution, and signed an agreement in June, 2010.

 

The Results

As promised, CBI began to install the new devices on August 1st and met their project deadline on September 6th, just in time for the new school year. 

 

CBI used a Managed Services implementation style to execute the project by the given deadline. Each print/copy device was configured to be PC and/or MAC friendly. The devices were also configured to allow the teaching staff to print and scan from, the SMART boards, as initially desired.  

 

CBI has adopted the management and responsibility of the print devices within the DPS district. The DPS technology staff is now able to focus on more detailed technology projects for the school district.  Due to their impressive Managed Service capabilities and organization, CBI significantly reduced device service times.

The project is to save Dearborn Public School administrators an estimated 14.6% in technology costs. The district expects to expand its print.Reliance project to include new Kyocera color MFPs in the near future.

 

Dearborn Public Schools have used CBI’s print.Reliance solution (Managed Print Services) to reduce technology costs and responsibilities for the technology staff.  It has also allowed the school district to benefit from new, more efficient and functional printing devices in the classrooms. More importantly, it has revitalized learning in classroom.
