The Challenge
DPS administrators were in need of a long-term, cost effective and innovative print solution. The school district’s technology department had previously deployed a printer within each classroom. As a result, DPS had many more devices to manually manage, which became the responsibility of the technology staff. Due to the large quantity of new printers, the technology staff eventually found themselves stretched too thin to be able devote the necessary time to other technology projects within the district.
DPS previously had a bond to pay for this capital expenditure. However, with Michigan’s educational budget cuts, a bond was no longer an option. They needed to find a new technology solution. Likewise, administrators knew more could be done to support staff and students through new and innovative technologies. One such example is SMART boards (digital whiteboards), which would empower the students and teaching staff creatively and educationally within the classroom.
It was expected that being able to print and scan to and from these SMART boards would also increase the productivity of the teaching staff. However, DPS administrators needed to find a technology provider that could implement such technology at this level, within budget. Above all else, the school district was pressed for time. They needed a new print solution implemented prior to the first day of school, September 6, 2010. The difficulty with such a launch date was that summer construction and maintenance had already been scheduled for the school buildings. That is when DPS turned to CBI in hopes they could provide a solution that met the school districts requests and deadlines. CBI accepted the project, confident that they could tailor their solutions to fit the school districts needs.
The Discovery Phase
CBI consulted with DPS to discover their needs, the programs they were using and how they were using them. CBI then conducted a fully detailed print audit throughout the entire school district. They identified all of the printers and copiers that needed to be replaced, totaling to 1,127 HP printing devices. CBI discovered that each school typically made up to 2,000 prints/copies daily both from classroom-based printers and centrally located document imaging devices.
They also discovered that the majority of these devices had not been operating as efficiently as possible for several years. The devices that were placed in each classroom could be replaced with a more cost efficient and quieter device. For example, CBI determined that the energy efficiency of one legacy printer, left on and running, was equivalent to 80 Kyocera ECOSYS printer units, set on sleep mode.
